Terms of Service

All projects begin with a detailed consultation to define project scope, requirements, timeline, and deliverables. Project specifications must be documented and agreed upon in writing before work commences.

Clients must provide clear, complete, and accurate project requirements, content, and feedback within specified timeframes. If clients are unable to specify requirements, VTE will proceed based on industry best practices and reasonable assumptions.

A 50% upfront payment is required before the commencement of any Design or Web Development services. The remaining 50% is due upon project completion and before final delivery.

Web hosting fees must be paid in full in advance. The first year is $120, with subsequent renewals at $160 annually. Domain registration and renewal fees are separate and due at the time of service.

All payments are non-refundable once work has commenced. Late payments may result in work suspension.

Graphic design projects include up to 5 rounds of revisions during the design phase. Additional revisions are subject to extra fees.

Changes to project scope during development will result in additional charges and potential timeline adjustments. All changes must be approved in writing with associated costs before implementation.

After project completion, all change requests are subject to additional fees based on complexity (minor, moderate, or major changes).

Clients are responsible for providing all necessary content, images, and materials in appropriate formats and warrant that they have legal rights to all provided content.

Clients have 5 business days to approve or request changes to submitted work. Projects may be put on hold after 10 business days of non-response, with potential storage fees applied.

After 7 business days without client feedback, VTE reserves the right to proceed based on professional judgment.

Upon full payment, clients own rights to completed work, excluding any pre-existing VTE intellectual property.

VTE retains rights to showcase completed work in portfolios and marketing materials unless explicitly restricted in writing.

Some projects may include third-party components subject to separate licensing terms.

VTE's liability is limited to the total amount paid for the specific service in question. Services are provided "as is" without warranties of any kind.

Clients indemnify VTE against claims arising from client-provided content or requested modifications.

Both parties agree to protect confidential information shared during the project and comply with applicable data protection laws.

Either party may terminate services with 7 days written notice. Clients receive completed work segments upon pro-rated payment for work performed.

Projects cancelled after commencement are subject to a 25% cancellation fee plus payment for work completed. Termination does not absolve clients of outstanding financial obligations.

All project timelines are estimates based on standard workflow and timely client feedback.

Delays caused by client non-response, late content delivery, or change requests may extend project completion.

VTE is not liable for delays caused by circumstances beyond reasonable control (power outages, internet issues, natural disasters, etc.).

This agreement is governed by the laws of Zambia. Legal disputes shall be settled in the courts of Zambia.

Clients are responsible for ensuring their projects comply with applicable laws and regulations.

VTE reserves the right to update these terms with 30 days' notice to active clients.
